Booking Policy

This Booking Policy outlines the procedures and guidelines for reserving, modifying, and canceling fitness classes and personal training sessions at OTF Fitness Center. It ensures fair access, smooth operations, and a respectful environment for all members and guests.

 

Booking Window

Members and guests can reserve classes and sessions through our online portal or mobile app.

  • Class bookings open 7 days before the scheduled start time.
  • Personal training sessions may be booked up to 14 days in advance.
  • Drop-in spots for non-members become available 24 hours prior to class.

 

Waitlist Procedures

When a class reaches capacity, you may join the waitlist:

  • Waitlisted participants are automatically notified via email or SMS if a spot opens.
  • You have 30 minutes to confirm your spot once notified, or it passes to the next person on the list.

 

Cancellation & Rescheduling

To respect trainers’ time and keep classes full, please review our cancellation rules:

  • Cancel or reschedule more than 72 hours before class/start time for a full credit or refund.
  • Cancellations within 12 hours of start time forfeit the class credit.
  • No-shows are treated as late cancellations; no credit or refund issued.
  • For personal training, late cancellations incur a $10 fee or loss of one session credit.

 

Check-In & Late Arrival

Punctuality keeps everyone on track:

  • Please check in at least 5 minutes prior to class start.
  • Members arriving more than 15 minutes late may be turned away and charged as a no-show.
  • Late-arriving guests may be offered an alternative class or asked to wait for an opening. Otherwise no refund.

 

Payment, Packages & Expiration

Session packages and memberships follow these rules:

  • Packages expire 6 months after purchase.
  • Membership holds (freezes) may be requested for up to 1 month, with 2 weeks’ advance notice.
  • Transferring a session/package to another member requires 48 hours notice and a $10 administrative fee.

 

Policy Updates

OTF Fitness Center reserves the right to update this Booking Policy. Changes take effect 30 days or less after posting on our website and app.
